Documentation

The WEBECO documentations system suitable from documentation of sterilization to sterile goods logistics of sterile materials.
 
The WEBECO documentations system is divided into 4 system levels:
system level 1 : process documentation via built-in printer
system level 2 : process documentation and process visualization via PC
system level 3 : cycle documentation via barcode-labels
system level 4 : storage management

All software modules are upwards compatible, i. e. the already available software can still be used in case of later system enhancements.

Remote diagnosis via optional modem connection to WEBECO is possible.

Reasons for documentation of data and sterilizations by using the WEBECO-documentations system:

a) legal coverage
  • documentation obligation regarding sterilization process and sterile materials is fulfilled
  • technical standards (e. g. DIN EN 285) are completely fullfilled by using the WEBECO-system
  • traceability via barcode-labels, cycle-printout and other auxilliary means is given
b) quality management (e. g. DIN EN ISO 9000 ff)
  • the supply with significant data based on quality-related documentation is considered the aim for standardization and quality improvement
  • the WEBECO-documentations-system is an optimal auxilliary means to achieve this aim
c) economical optimization
  • recording of material usage and thus allocation to treatment expenses is possible via "patient-related documentation"
  • possibility of cost statistics, referring to the sterilization material (e. g. costs of repair) is given
  • cost reductions by more effective service performances
  • an effective turnover is given by simple work processes and automation

Process Documentation

Performance characteristics: monitoring and documentation of sterilization processes.

During process documentation the sterilization process is documented by using a built-in printer and/or a line-recorder.

Standardly the WEBECO steam sterilizers are equipped with a process data printer for measuring, display and registration of process-specific data and the FA-sterilizers are equipped with a 2 channel line-recorder.

The installation of a label-printer in the sterile area is optionally possible.

Process Documentation and Process Visualization

Preformance characteristics: monitoring, documentation and visualization of cleaning-/disinfection- and sterilization processes.

Expansion of the process documentation via an PC-workstation, consisting of PC, monitor, keyboard, mouse and DIN A4 printer (called central in the following).

Process documentation includes:

sterilizer data
employee (responsible for release)
process data

Printout of process data takes place, if specified, automatically via the printer provided in the central. It includes following data:

user program time begin/end
department date switch points (time, pressure, temperature)
device-no. cycle-no. pressure/temperature curve (blue/red)
operator cycle-time result
failure messages

The process data are stored locally on the storage medium of the central PC or the network server. Thus the data can be printed out at a later time.

Up to 8 sterilizers can be connected to the central PC. It is irrelevant which sterilizers are connected. All sterilizers with a free serial interface (RS 485), from Large Sterilizers over Table Top Sterilizers to FA-Sterilizers combined can be connected. In principle it is also possible to connect cleaning and disinfecion machines and sterilizers of other makes.

Software

The software consists of the WEBECO module "Process-DATA", which is used for representation of process data, transmitted to the PC via the RDS-devices. Optionally it can be expanded by an additional module "Service-DATA" for representation of the current sterilizer functions in different views (process model, status indication of PLC etc.).

An optional modem connection to WEBECO enables remote diagnosis of the connected sterilizers, thus providing optional support of the local service technician.

Cycle Documentation

Cycle documentation provides additionally to process documentation the documentation of the assigned load (referring to cleaning and disinfection machines and sterilizer), thus enabling the traceability of the used instruments.

Performance Characteristics:

generating of labels for the sterilized material thus enablling traceabilty from the patientīs file back to the cycle
a barcode system is used to simplify all registration procedures
article management, statistics and analysis

Hardware

For cycle documentation additionally to the "central" the packing place is equipped with a computer and monitor where the packing lists are shown. It is also equipped with a barcode scanner and a barcode printer.

To generate the necessary labels only the scanner and some packing lists are used at the packing place. Additionally the sterilizer is equipped with a barcode scanner located at the sterilizer front.

Cycle Documentation Hardware

Software

Using the cycle documentation "Chargen-DATA" the set to be packed is registered at the packing place from a barcode set-catalogue via a barcode scanner. The respective packing list appears on the screen and the barcode label printer, located above the packing place, prints the respective barcode label.

The labels contain set and cycle data and for visual control after sterilization additionally chemical test indicator stripes for steam and formaldehyde. The barcode labels of a cycle are importet at the sterilizer via the installed scanner. Cycle and process data are transferred to the central together with the contents of the sets. There they are stored. Immediately after end of sterilization they can automatically be printed out on a DIN A4-paper (see adjoining example).

Cycle Documentation Chargen-DATA

At the "Central" the packlists are generated and managed in a data base. Depending on access authorization this is also possilbe at the individual pakcing places. Definition of sets with article-related information, such as:

article description individual weight
type of article quantity of article
article-no.

and set-related information, such as:

marking type of wrapping
set description storage life
set contents packing date
department packer
storage location sterilization program

are individually adjustable.

Additional Modules:

Additional Module "Release Documentation"

This module is used to store the released resp. the not released sets and/or articles. Input takes place via barcode scanner ont the unloading side of the sterilizer.

Additional Module "Article Management"

This module is used to record and evaluate all article-relevant data referring to sterilization, utilization, repair, storage, supplier, service, costs etc.

"Storage"-DATA

Using the software module Storage-DATA it is made possible to record when the treated materials enter the storage and when they leave it. Thus inventory control is permitted.
